We Trialled an AI Receptionist. Can It Replace a Human Receptionist?

Artificial intelligence is changing the way businesses operate, and like many companies, we’re always looking at ways to embrace new technology.

At OfficeFront, AI is already helping us behind the scenes with a variety of day-to-day tasks, improving efficiency and supporting our team. So naturally, we wanted to see whether it could also play a role in one of the things we know best: answering the telephone.

As a company that provides professional telephone answering services and virtual receptionist support to businesses across the UK, we were curious to see just how good an AI receptionist could really be.

So, we put one to the test.

First Impressions

Our honest verdict?

6.5 out of 10.

That’s actually a very respectable score.

For many calls, the AI receptionist performed impressively. It answered promptly, spoke clearly, captured names and messages accurately, and handled straightforward enquiries confidently. If the caller knew exactly what they wanted, the conversation flowed surprisingly well.

Technology has come a long way.

For simple call answering, message taking and information gathering, it’s genuinely impressive.

But then came the more difficult conversations.

The Real Test

The real test wasn’t the straightforward enquiries.

It was the callers who were anxious, frustrated, uncertain, or simply wanted a little reassurance.

That’s where we noticed the difference.

The AI remained focused on gathering information. It concentrated on getting the spelling right, collecting the required details and moving the conversation towards a conclusion.

What it didn’t always recognise was the person behind the call.

It didn’t notice the hesitation before someone spoke. It didn’t pick up on the anxiety in someone’s voice.

It couldn’t reassure a nervous caller that everything would be okay. There was no friendly laugh. No natural conversation.

No moment of empathy that says, “Don’t worry, we’ll help you.”

Sometimes people don’t actually need information. They need reassurance.

They need confidence that they’ve called the right place. They need someone who listens, adapts and responds naturally.

Those small human moments matter far more than many people realise.

So, Will AI Replace Our Receptionists?

Not at OfficeFront. At least, not for now.

That doesn’t mean we won’t use AI. Quite the opposite.

We believe AI has an important role to play, and we’ll continue integrating it into our business wherever it genuinely improves the service we provide.

In fact, we can already see it being an excellent solution for certain situations, including:

  • Out-of-hours message taking.
  • Simple information gathering.
  • Routine enquiries that don’t require a personal touch.

For these types of calls, an AI receptionist can be fast, accurate and available 24 hours a day.

That’s a real advantage.

But When the Call Really Matters…

People still want to speak to people.

Whether it’s a client who’s worried, a potential customer making their very first enquiry, or someone simply looking for reassurance, a conversation with a caring, experienced receptionist is difficult to replicate.

The warmth in a voice. The ability to read between the lines.

The confidence to adapt naturally when a conversation takes an unexpected turn.

The empathy that can’t be scripted.

These are the qualities our reception team brings to every call, and they’re the reason why so many businesses continue to trust our professional telephone answering service over technology alone.

Finding the Right Balance

Technology will continue to evolve. And so will we.

We’ll keep testing it, learning from it and adopting it wherever it genuinely benefits our clients. We don’t see AI and people as competitors.

We see them as partners.

For straightforward call handling, AI has enormous potential.

But when a conversation requires empathy, reassurance or human judgement, we still believe nothing replaces an experienced receptionist.

For now, the best customer experience comes from combining the efficiency of AI with the warmth and professionalism of real people.

And that’s exactly the balance we’re aiming for.
